What supplier details does a buyer need before starting Scope 3 supplier engagement?

Six fields per supplier, from the GHG Protocol's supplier engagement guidance: name, address, procurement contact, supplier type (production-related or not), commodity or service type, and annual spend. Then ask your purchase team to check the list for suppliers about to be added or dropped before any survey goes out.

The six fields, from records you already hold

Planning steps around the list

  1. Find who already surveys suppliers. If an EcoVadis, Sedex or CDP request is already going out, coordinate with it so suppliers are not asked twice.
  2. Choose suppliers. Rank by expected emissions; if you cannot, rank by spend. The guidance's rule of thumb is to request data from the top 80% of known suppliers, and to widen that over time.
  3. Engage procurement. They know which suppliers are being added or removed and which contracts are changing. Give them the reasons, the process and a list of likely supplier questions, and say the programme has senior backing.
  4. Pick how data will come in. The guidance notes that a spreadsheet is simple to send but wearing for suppliers filling a different one for every customer.

Confidential supplier data

Ask each supplier how its data may be used and get written permission. Where needed, sign a non-disclosure agreement. Where several suppliers make the same part, protect each one's figures from the others, keeping competition law in mind.

If you are the supplier on that list

Expect a letter from the buyer's procurement team explaining the programme, its schedule and asking who will answer. Name one person, keep a year of electricity bills, fuel invoices and production figures together, and ask for the training session or help contact the guidance tells buyers to offer.

Example: a buyer's first supplier list

Figures are an example. Rank by expected emissions instead of spend when you can.

What Senseible does here

Senseible reads purchase invoices and keeps supplier name, spend, quantity and HSN code in a separate supplier evidence trail, which fills most of these fields from documents you already have.
