Senseible

How do I calculate the carbon footprint of exhibiting at an overseas trade fair?

Add four parts: staff flights by distance and cabin class, hotel nights by country, freight for samples and stand material by weight, distance and mode, and the stand build itself. Report flights and hotels in Scope 3 Category 6, freight you pay for in Category 4 and the stand in Category 1.

Data to collect for one fair

How to calculate each part

  1. Flights: passenger km x a published factor for that distance band and class. Business class carries a larger factor than economy because the seat takes more space.
  2. Hotels: room nights x a country factor per room night.
  3. Freight: tonnes x km x a factor per tonne km for the mode. Air freight carries a far higher factor per tonne km than sea.
  4. Stand: for a custom build, quantities of timber, board, aluminium and graphics x their factors; for a shell scheme or where only the invoice is known, a labelled spend-based estimate.

What is not yours

Visitors' travel, the hall's energy and the organiser's own operations are in the organiser's and venue's footprint. Samples you sell or give away at the fair end up as your products, not your event footprint. If the stand is reused across fairs, count its materials once and say so.

Cutting the number next year

Worked example: three staff to Frankfurt

The three factors are illustrations, not official values. Use a published source such as the UK government conversion factors or the ICAO calculator for flights, and name it.

What Senseible does here

Senseible reads freight records with weight and distance into a supplier evidence trail, and gives spend-only freight lines a labelled spend-based estimate. Flight and hotel invoices can also get labelled estimates.
